Is there an implementation or setup fee?+
No. Sign up, we set your tenant live within 24 hours, and the 30-day trial starts. No consultants, no six-figure onboarding, no setup fee. Migration off your current platform (if that's you) is included in the trial period — see the Migrations guide.
How does data migration work — is it extra?+
Standard migration is included. We import your contacts, active jobs and open invoices from a CSV export off most existing platforms. For anything unusual we'll quote a small one-off — most trades don't need it.
What's the contract term?+
The advertised prices ($300 Studio + $20 per field seat) are on our standard 12-month contract, billed monthly. You get price certainty for the year, we get to plan the roadmap around a real customer base. Shorter terms are available (see next question) at a higher monthly rate.
Can I get a shorter contract?+
Yes. Six-month terms carry a ~15% premium on the monthly rate; strict month-to-month carries a ~25% premium. The reason is honest: shorter terms cost us more to onboard and support relative to the revenue, so the price reflects that. Most customers stay on the 12-month standard.
What if I want to pay annually up front?+
Annual pre-pay on the 12-month contract gets you two months free — effectively 10 months' worth of cost for the year. Same platform, better cashflow rate. Email ops@xgrafter.com to switch after signup.
Can I cancel mid-contract?+
Not without paying out the remainder of the term — the contract is a real commitment on both sides. What you can do: freeze the account (halved rate, read-only, keeps your data live) if the business hits a rough patch, or transfer the contract to another entity you own. Both are on request.
What happens at the end of the 12 months?+
It rolls over into another 12-month term at the then-current price, unless you tell us otherwise before the renewal date. We'll email you 60 days out with a heads-up. If you want to renegotiate, extend to 24 months for a discount, or wind down, that conversation happens then.
Will the price go up?+
The price on your signed contract is locked for the length of the term. At renewal we'd give 60 days written notice of any change. In practice we've held pricing flat since launch and expect to keep doing so.
How do seat additions and removals work?+
Adding a seat mid-term: charged pro-rata from the day it's added, then included on the next monthly invoice. Removing a seat: within your contract, the seat drops off at the end of the current billing month. You can't drop below the seat count you signed for without a variation to the contract.
How often am I billed?+
Monthly, on the calendar day you signed up. Card, direct debit or bank transfer. Annual pre-payment is a single invoice on day one.
Do I get a tax invoice?+
Yes — a proper AU tax invoice with our ABN, GST breakdown, and your business details, delivered by email the day we bill. Attach it to your books, deduct the GST, move on.
What's the refund policy?+
The 30-day free trial is your window to decide before you commit. Once you're on a paid contract we don't refund past months. If you cancel a month-to-month plan we wind you down at the end of the current billing period — no spite fee, and you keep every byte of your data via CSV export.
Can I change plans later — Studio to Enterprise, or the other way?+
Yes. Studio-to-Enterprise happens naturally when you hit 25 field seats — we'll flag it and shift you onto volume pricing. Enterprise-to-Studio (if you shrink) is a conversation, not a cliff.
Got a promo code?+
Type it into the box on the pricing calculator to see it applied against your monthly total. Codes are single-use per account, apply after the 30-day free trial, and only stack with themselves — the biggest discount always wins.
How do I get a promo code?+
They come out of industry-body partnerships (HIA, MBA), referral offers from existing customers, or short launch promotions we run on socials. If you're a member of an association and don't see a code for it, email ops@xgrafter.com — we'll sort one.
